7 Tips To Run More Efficient Meetings (Part 2)

A lot of people from different careers face the same teamwork problem, which is widely known as the lack of meeting management. Continually from the first part, in this article, we discuss the remaining 4 powerful tips to run more effective meetings to bring you tremendous benefits.

4. ARRIVE EARLY TO SET UP

The earlier, the better, for almost all circumstances. Similarly to presentations, we should always get there betimes to check whether your prepared things are all set up properly. Technical issues happen during the meeting all the time since you don’t have enough time to solve unwilling technical difficulties. 

So if you’ve been getting ready for the meeting beforehand, why not come earlier to set things up for your professionalism?

5. TAKE NOTES

This skill never goes out of date, however, the more basic it is, the easier it is forgotten by the meeting holders. Besides having the agenda with you until the last minute of the meeting, a paper to jot down questions or assignments is a must for an effective one. Especially, what you need is a paper since it’s better for you to remember and even come up with a flash thought, how convenient it is. Attendees will notice your concentration, instead of assuming that you are catching up on email. Moreover, this will help a lot in creating meeting minutes (summary of the meeting) in good detail. 

6. SUM UP

Again, this is a part that most meeting holders or organizations don’t do, resulting in the fact that the tasks or information are not delivered well to attendees. They will soon forget what are mentioned in the meeting, and it’s definitely a burden for you. 

So, in the last 5-10 minutes, summarize all the agreed-upon action items, instead of hoping people have their own notes.
Always take time to go through the topics, review the meeting, put responsibility, and due dates with the tasks list.

7. POST-MEETING

At most 24 hours after the meeting, send the post-meeting to your attendees, ideally 2 or 3 hours. By preparing for the meeting so well, you have a very nice and clear template to send it out. It’s not only fresh in your attendees’ minds but also a way to keep them in track with the action items.
